Purpose of the position

The HRIS Coordinator is responsible for the effective maintenance, support, and utilization of the SMART’s HR software systems. This role ensures accurate data management, supports HR processes, and provides technical assistance to HR team members, in addition to proactively identifying opportunities for system enhancements to improve functionality, streamline workflows, and elevate user experience. The HRIS Coordinator plays a crucial part in analyzing and reporting HR data to aid in strategic decision-making. The HRIS Coordinator will also provide generalist support to the wider HR team as required to.

Responsibilities and accountabilities

HRIS Management:

  • Maintains and updates SMART’s HRIS ensuring data integrity and system performance.
  • Collaborates with the internal Information Systems department and software providers to address system issues and implement upgrades.
  • Oversees system configurations, user access, and system security settings.

Data Management:

  • Inputs, audits, and validates employee information within the HRIS.
  • Monitors data accuracy and troubleshoot discrepancies.
  • Ensures compliance with data privacy regulations and company policies

Reporting and Analytics:

  • Generate and distribute regular and ad hoc HR reports
  • Analyze HR data to identify trends and provide insights for leadership.
  • Support HR teams with metrics for strategic planning and performance evaluation.

User Support and Training:

  • Serves as the primary point of contact for HRIS related issues and inquiries.
  • Builds and delivers training sessions to enhance HRIS proficiency within the organization
  • Creates user-friendly guides and documentation.

System Improvements and Projects:

  • Collaborates with HR team to understand HR and business needs and translate them into system solutions
  • Identifies, designs, documents, tests, and drives HRIS related business process changes in accordance with internal controls and with a focus on achieving positive business outcomes.
  • Evaluate system capabilities and recommend enhancements to improve efficiency
  • Stays updated on HR technology trends and advancements

Other Tasks:

  • Documents and improves HR policies and processes in alignment with departmental and company objectives ensuring adherence to SMART’s QMS methodology.
  • Collates documentation as required to support any HR audits.
  • Supports with the wider HR operations team as business needs require (namely, Benefits and Talent) to widen own HR skillset and provide backup support.
  • Updates and maintains the architecture and contents of the HR section, and front page of SharePoint ensuring an impactful and positive user experience and working with the relevant HR functional owners to ensure all contents are up to date and relevant.
  • Support the management of the HR mailboxes answering queries and/or referring to subject matter experts as required.
  • Provides support to key HR programs and activities as assigned.

Education, work experience and skills:

  • Post-Secondary Degree or Diploma preferred.
  • Technical proficiency in HRIS platforms (Ceridian Dayforce is preferred) with 2-3+ years’ experience working within an HR team with HRIS systems and data management.
  • Involved in an HRIS implementation cycle would be an asset as is experience in a different HR discipline
  • Strong understanding of HR processes and data. 
  • Excellent analytical and problem-solving abilities with a proactive approach to system optimization.
  • Strong communication and interpersonal skills for collaboration and user support.
  • Ability to exercise discretion in working with confidential and private information.
  • Demonstrated collaboration techniques working with key stakeholders to achieve common goals.
  • Highly organized with strong time management skills.
  • Detail oriented with a specific focus and balance of speed and accuracy.
  • Ability to manage critical deadlines in a fast-paced environment with conflicting priorities.
  • Advanced proficiency in Microsoft Excel and other data analysis tools.

Working conditions:

  • This role typically operates in an office environment, hybrid arrangements may be available. Preference for the successful candidate to reside in Calgary, Alberta, or surrounding area.
